Acceptable Use Policy

This policy sets out what you may not do with the eMedical Platform service. It is part of the Terms of Service. Violations may lead to suspension or termination without refund.
1. Purpose
eMedical Platform is built for licensed healthcare providers to manage their practices. This policy protects patients, providers and the service from misuse.
2. Illegal and harmful activity
You may not use eMedical Platform to:
- Violate any applicable law or regulation, including health, privacy, tax and consumer-protection laws.
- Process data you do not have a lawful basis to process.
- Bill for services not rendered, misrepresent billing codes or assist in insurance fraud.
- Diagnose, prescribe or treat outside the scope of the treating practitioner’s licence.
- Threaten, harass, defame or incite violence against any person.
- Facilitate modern slavery, child exploitation, or trafficking.
3. Security-abusive activity
You may not:
- Probe, scan or test the vulnerability of the service except under our vulnerability-disclosure program.
- Bypass authentication, access controls or rate limits.
- Introduce malware, backdoors, or code intended to interfere with the service or other customers.
- Attempt to access any data that is not yours or reverse-engineer security controls.
- Conduct denial-of-service attacks or generate abnormal load.
4. Messaging and communications
If you use eMedical Platform to send SMS or email to patients, you must:
- Only message people who have given you a lawful basis to contact them.
- Honour opt-outs immediately and persistently, across all channels.
- Not send unsolicited marketing messages, SMS spam, phishing or pretexting content.
- Not message shortcodes or toll-free numbers belonging to others.
- Comply with the TCPA (US), the Spam Act 2003 (AU), PECR (UK), and equivalent laws wherever you operate.
5. Data use
- Do not upload data you don’t have a lawful basis to process.
- Do not upload payment card numbers into clinical-notes or messaging fields — use our Stripe integration instead.
- Do not use eMedical Platform as a permanent archive for data you have no ongoing care relationship with.
- Do not share login credentials; each staff member must have their own user account.
6. AI features
Where you use eMedical Platform features that incorporate machine-learning models (for example, AI-drafted notes or no-show scoring):
- You retain clinical responsibility for any output; verify before relying on it.
- You must obtain patient consent before recording dictation.
- You may not use AI outputs to make automated decisions that produce legal or similarly significant effects on patients.
7. No resale or white-label
You may not resell, sublicence, white-label or provide the service to third parties except within your own clinic’s operations. Integrator and reseller partnerships require a separate written agreement.
8. Enforcement
If we believe you are violating this policy we may (a) ask you to stop, (b) suspend the offending activity, or (c) where the violation is serious or ongoing, terminate the account without refund. We will try to notify you first, but may act immediately if the violation threatens other customers, users or the service.
9. Reporting
Report suspected violations to abuse@emedicalplatform.com. We treat reports confidentially to the extent possible.
